Site Visits

  •  Inspection of the general condition of the property

Maintenance and Repair

  •  Immediate response to emergencies or general repairs
  •  Administer and review cleaning, gardening, window cleaning and lift contracts

Major Items of Expenditure, Exterior and Interior Redecoration

  • Contract administration service for exterior and interior redecoration contracts and major works
  • Use the expertise of surveyors, architects, structural engineers and other professionals where necessary


  • Arrange insurance cover in respect of the property
  • Deal with insurance claims on behalf of the Client where appropriate


  • Collection of ground rents, service charge, and any other payments
  • Submit all relevant accounting records at year end to the Accountant for preparation of the accounts
  • Prepare an annual estimate of anticipated expenditure

Legal and Statutory Obligations

  • Advise on changes in legal requirements in order to comply with legislation

Health and Safety Risk Assessment, Fire Risk Assessment and Asbestos Management

  • Arrange for Risk Assessments to be carried out to identify and minimise risks and hazards in the common areas of the property
  • Instruct a Risk/Fire Assessment Officer to conduct a Fire Assessment on all common areas of the building and implement a general fire policy
  • Instruct an Asbestos Surveyor to access and manage the risks from asbestos in all communal areas

Company Secretarial Services

  • Update Register of Members, prepare new Share Certificates, complete and file all necessary statutory forms to Companies House, including the Annual Return, and convening of Statutory Meetings
  • Convene and attend and take Minutes at Annual General Meetings and Board Meetings and convening same.  

BDLS  Enquiries (Solicitors’ enquiries on sale/purchases)

  • Answering solicitors’ enquiries for Vendors/Purchasers, including research and answers to detailed questionnaires, photocopying of documents, dealing with Notices and Assignments
